Groupize and MeetingPackage announced a strategic partnership and a planned integration on 8 October 2026, datelined Boston and Espoo, to connect AI-powered corporate meeting demand directly to hotel and venue supply. Groupize sells an AI-native platform for in-person corporate meetings, events and guest travel. MeetingPackage sells an AI-native central reservation system for groups, meetings and events.
Two paths, chosen by the meeting
The integration aims to route each meeting either to an instant booking or to an AI-assisted SmartBid, decided by the meeting's size, type, complexity and requirements. Smaller or more standardised meetings take the instant path where participating hotels publish rates and availability, so a planner can move from discovery to pricing without a traditional RFP. Meetings that need proposals, negotiation or complex space move to aime SmartBids.
MeetingPackage supplies the instant half. Its Instant Quote answers eligible enquiries from connected channels with priced, branded proposals within minutes, using the hotel's own availability, rates and rules. Groupize supplies the RFP half. Its aime SmartBids creates and distributes the RFP, communicates with properties, analyses proposals, compares options and supports negotiations. Groupize's own product page calls SmartBids an AI negotiation engine.
The release states the two sourcing models are complementary, and that enterprises keep their policies, preferred suppliers, approvals and governance in both cases.
What the integration aims to reach
The release lists six things Groupize aims to access as the integration develops, subject to participating hotel support. They are hotel, venue and meeting-space content; day delegate rates and meeting packages; group rates and availability; instant booking for eligible meetings; structured RFP delivery into connected hotel systems; and connectivity with sales and catering and property management systems.
That list is the operator read. A hotel can hold it against its own stack to see which of the six it can supply today. Sales and catering and the property management system are the two systems the release names.
What changes for a hotel sales team
The release describes the condition it targets. Hotel sales teams receive requests through many channels and re-enter the same information into sales and catering, property management and other systems, per the release. The stated outcome is fewer unnecessary RFPs, less duplicate data entry and more structured, qualified opportunities.
Charles de Gaspe Beaubien, founder and chief commercial officer of Groupize, states that AI should help determine whether a meeting needs an RFP at all, and that a straightforward meeting with the rates, availability and connectivity in place is best simply booked. Tania Sidokpohou, partnerships director at MeetingPackage, states that hotels need to be visible where corporate buyers are looking and able to respond quickly when an enquiry arrives.
No price, no date, no named hotel
The release describes a planned integration throughout. It carries no price, no availability date and no named hotel running the connected pair.
The supply side's own published scale
MeetingPackage's own pages carry figures the release does not. Its about page states more than 12,000 hotels run on its platform, in over 50 countries, with 12,000-plus venue partners and 70-plus employees. Its home page states a 4.7 out of 5 rating on HotelTechReport, more than 1.67 billion euros in event booking volume and more than 100 first-party integrations.
What a hotel sales team can ask
Five questions follow from what the release states. Which systems carry the write in each direction, and which versions of the property management system and the sales and catering system are covered. How a meeting is scored onto the instant path against the SmartBid path, and whether a hotel can set that threshold. Whether routing order is neutral or affected by commercial terms. Who holds the guest record and the rate on an instant booking. What the hotel pays per routed lead.
The release's six-item access list is the checklist a hotel can take into the first conversation.
