Groupize Adds a Guest Module
Groupize announced aime Guest on 13 October 2026, from a Boston dateline. Groupize sells an AI platform for corporate meetings, events and group travel. It is an SAP Concur partner.
The module books and manages travel for people who travel on a company's behalf and do not sit in its HR system. The release names candidates, new hires, interns, HCPs, patients, speakers, visiting faculty, contractors, vendors, volunteers, board members, crew and family members. The product page adds pre-hires, freelancers, temps, talent, athletes, officials, termed employees and meeting attendees.
Scope covers air, hotel and ground travel. The run goes from invitation to booking, payment, tracking and reconciliation.
Six Steps, One Record
The release sets the workflow out in six steps. Invite: the guest receives a one-time link and needs no login or travel profile. Book: the guest self-books air, hotel and ground inside policy, or aime coordinates the trip. Approve: approvals route through aime Request and Concur. Pay: virtual cards, ghost cards or a central travel account cover cost up front. Track: live booking status, flight tracking, itineraries and onsite check-in. Reconcile: spend flows into Concur Expense, and aime Insights reports total guest travel spend.
The product page lists BTA and ghost card, then virtual card issuance. The release writes central travel account in the same position. Both pages are the issuer's own.
Rule Classes by Traveler Type
Planners set separate rules for each traveler group inside one meeting. An attendee books on a personal card under standard policy. A speaker or an HCP travels under a separate rule class with central billing. A VIP files a request and does not book directly.
The product page states that aime Manager applies traveler type, class of service, booking window and spend caps to every guest booking. Approvals route through aime Request and Concur.
HCP Compliance Inside the Trip
For life sciences clients the module validates HCP licensing through MedPro and draws identity and affiliation data from IQVIA. It captures transfer of value on every trip and reports to the Sunshine Act and Open Payments. Spend caps, fair market value, meal limits and prohibited items are checked before a booking is confirmed.
The life sciences page words the check as “Validate HCP credentials with MedPro Systems or IQVIA integration.” The release assigns licensing validation to MedPro and identity data to IQVIA. Both integrations rest on the issuer's account, and no MedPro or IQVIA page carries them.
That page also carries Groupize’s own performance claims: expense-reporting errors down by up to 40 percent, compliance scores above 90 percent, and 3 to 5 hours a week saved per sales representative. It names no audit.
What Reaches the Property
Payment arrives as a virtual card, a ghost card or a central travel account. The guest holds no travel profile and creates no login.
Group scale runs to 500 travelers and 200 rooms on the product page. Rooming lists, attrition and pickup sit inside the client's platform, where aime Smartbids sources the block and aime Travel manages it.
The release names no channel, no rate code, no commission term and no interface to a property management system. Onsite check-in is the client's own tool. A hotel learns what the buyer will run, and the release stops there.
The Reimbursement Line Moves
The release puts guest reimbursements on the roadmap. It reads: “Groupize plans to extend aime Guest with guest reimbursements, replacing the individual receipt process that today often routes through accounts payable and can take weeks.”
The product page lists guest reimbursements under Payments as shipped. Its copy reads “guest reimbursements and reconciliation flowing into Concur Expense.” The two issuer pages disagree on the state of one capability.
No Price, No Customer, No Module Count
Neither page publishes a price, a fee, a contract term or a minimum. The release names no launch customer and no go-live property.
Groupize launched the previous module, aime Request, at SAP Concur Fusion on 18 March 2026. That release stated a plan to deliver nine aime modules by June 2026. The October release states no count against the target, and the pages name seven: Guest, Request, Manager, Compliance, Smartbids, Travel and Insights.
